The event + volunteer coordinator serves as a valuable member of the Waterville Creates (WC) team
and provides critical support across the organization to coordinate all logistics related to member events,
special receptions, and general events. The event + volunteer coordinator oversees all aspects of the
volunteer program, including recruitment, training, and recognition of the volunteer corps. The coordinator
serves as a primary point of contact for all WC internal and external events.

Essential Duties/Responsibilities

  • In partnership with program staff, supports the planning, design, set-up, and execution of special events
    across the organization including staging programs/receptions at the Maine International Film Festival as
    well as organizing Ticonic Gallery exhibition openings, Waterville Opera House special events, and WC
    membership program events.
  • Responsible for pre- and post-communications, catering arrangements, audio/visual needs; oversees
    schedule and trains event staff and volunteers.
  • Ensures clear communication with appropriate WC staff, vendors, and volunteers while adhering to WC
    event policy + protocols.
  • Ensures that related volunteer and vendor paperwork is completed in a timely fashion.
  • Works with administrative coordinator to ensure payments, deposits, and invoices are processed according to contract deadlines.
  • Responsible for monitoring event expenses to keep within budget parameters.
  • Serves as primary point of contact for events and related questions, rental inquiries; addresses issues as they arise in a tactful and professional manner.
  • Manages volunteer database and communication, recruits and trains new volunteers, and ensures that all events have adequate volunteer support.
  • Develops and manages volunteer reward and recognition program.

Knowledge/Skills/Experience Requirements

  • 3 years of event management experience, public program oversight, and/or coordination of large public
    functions.
  • Self-motivated, enthusiastic demeanor with ability to work well with diverse audiences.
  • Excellent communication and organizational skills; detail- and deadline-oriented; highly collaborative
    approach to project management.
  • Ability to manage multiple assignments simultaneously, exceptional customer service, and excellent
    creative problem-solving skills.
  • Valid Maine Driver’s License.
  • Ability to work nights and weekends is essential.

Physical Demands/Conditions/Requirements

Work is performed in a general office environment. Light lifting (up to 50 pounds) required. Full range of physical mobility including walking, sitting, standing, stooping, carrying, reaching, and manual dexterity is required.

Temporary/On Call; Non-Exempt Status

The Event Assistant supports the successful execution of live events held by Waterville Creates. The event assistant is a public-facing professional who demonstrates excellent customer services and hospitality skills, possesses superb attention to detail, abides by state and organizational regulations and policies, and ensures the pre- and post-show readiness and cleanliness of the Maine Film Center, Waterville Opera House, and Ticonic Gallery + Studios (“Venues”). They serve as a welcoming resource for patrons and performers during live events; elevate questions, concerns, and suggestions to management on a timely basis.

Essential Duties/Responsibilities

  • Sets up and breaks down events, including loading or unloading band equipment, striking sets, setting out tables and chairs, and assists with decorations or special signage.
  • Greets customers and processes merchandise sales and concessions, including alcoholic beverages in accordance with health, safety, and legal requirements.
  • Ensures a welcoming, respectful, and pleasant atmosphere; reports all issues to management or relevant authorities.
  • Occasionally provides transport within Waterville for performers or performers’ staff, picks up catering or event materials.
  • Provides coverage at Box Office + Concessions as requested.
  • Provides guest services support for all venues across the organization.
  • Attends all staff meetings.
  • Performs all other related duties as assigned.

Knowledge/Skills Experience

  • Strong organizational and time management skills.
  • Strong interpersonal and customer services experience.
  • Ability to work independently with attention to detail and strong degree of accuracy.
  • Previous customer experience in a fast-paced retail environment a plus.
  • Previous concert, theatre, festival, or special event production experience a plus.
  • Ability to work collaboratively.
  • Ability to become familiar with new software and IT systems.
  • Ability to be flexible, adapt, and problem-solve when faced with unexpected challenges.
  • Must have a valid driver’s license.
  • Due to the nature of live events, the Event Assistant’s schedule falls heavily on weekends and evenings.
